POSITION OVERVIEW 

We are seeking a dedicated Associate IT Project Coordinator with at least 1 to 3 years of experience in a project-oriented role, such as a project coordinator, business analyst, or junior project manager, preferably within an IT environment. This is an entry-level role that supports the planning, execution, and delivery of technology projects by coordinating tasks, schedules, resources, and communication among stakeholders. This role reports directly to the IT PMO Manager and works closely with project managers, technical teams, vendors, and business partners to ensure projects are delivered on time, within scope, and aligned with organizational goals. The IT Project Coordinator plays a key role in tracking project progress, maintaining documentation, and facilitating effective collaboration across cross-functional teams. and customers.

REQUIREMENTS 

  • Minimum of 1 to 3 years of experience in a project-oriented role, such as a project coordinator, business analyst, or junior project manager, preferably within an IT environment
  • Bachelor’s degree in Business, Management Information Systems, Information Technology, Computer Science, or a related field (or equivalent professional experience)
  • CAPM (Certified Associate in Project Management) or similar entry-level certification (or a clear desire to obtain one)
  • Prior experience working within a PMO; relevant internship experience in IT, project management, or a corporate environment

SKILLS 

  • A strong understanding of core project management concepts, methodologies (Waterfall, Agile/Scrum), and the project lifecycle
  • Exceptional organizational and time-management skills with the ability to manage multiple tasks and priorities simultaneously
  • Excellent verbal and written communication skills, with the ability to be clear, professional, and concise when communicating to technical and non-technical audiences
  • High proficiency in the M365 suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management software (e.g., MS Project, Planner, Jira, or similar)
  • Proactive, strong work ethic, problem solver, and a high degree of flexibility, adaptability and teamwork skills
  • Experience in a fast-paced environment undergoing significant change or transformation
  • Basic understanding of IT infrastructure, software development, or cybersecurity concepts

RESPONSIBILITIES

  • Assist IT PMO Manager and IT PMO department in all phases of the project lifecycle, from initiation and planning to execution, monitoring, and closure; independently manage small, low-risk IT projects or significant workstreams under the guidance of the IT PMO Manager
  • Create and diligently maintain core project documentation, including project schedules, milestones, budgets, deliverables, risk and issue (RAID) logs, action item trackers, and decision logs
  • Schedule and coordinate project meetings, prepare agendas, manage calendars, and ensure all team members have the information they need; prepare and distribute clear, concise and action-oriented minutes in project meetings and status reports for various stakeholders; proactively follow up on action items to ensure they are completed on time
  • Provide direct administrative and organizational support to the IT PMO department
  • Support the development of IT project management best practices and assist in creating simple training materials to help socialize new processes across the IT department and the organization
  • Assist the IT PMO department to create, refine, and organize IT PMO templates (e.g., project charters, risk logs, status reports, change requests, lesson-learned)
  • Assist in documenting IT PMO processes and best practices that all IT projects will follow
  • Assist with building and maintaining a central repository for all project documentation (e.g., on SharePoint, Teams, or a similar platform)
